Missed lead calculator

Use this missed lead calculator to estimate the contribution that recovered inquiries could add to your business. Enter inquiry volume, recovery and sales assumptions, customer value and operating costs. Compare the result with setup costs before discussing follow-up improvements with AI Growth Systems. The figures are scenarios, not measured lost sales.

Use results and downloads without submitting contact details.

What is the cost of missed calls for a small business?

The cost of missed calls depends on how many genuine inquiries could have become paying customers. This calculator models the contribution from inquiries you might recover, using recovery, qualification and close rates, sale value and contribution margin. It then subtracts the operating costs you enter and compares the remaining contribution with setup costs. It does not measure actual lost sales.

At $1,000 per sale and a 40% contribution, that's $600 a month before costs. With $600 to set up and $200 a month to run, follow-up pays for itself in 2 months.

Set your assumptions

Recovery is a share of missed enquiries. Qualification applies to recovered enquiries; the close rate applies to qualified enquiries. Contribution margin is revenue left after variable delivery costs, before the setup and monthly costs entered here.

Example values are invented for arithmetic only. They are not results, benchmarks or prices.

Contribution, costs and break-even

Enter your assumptions and calculate to see the arithmetic.

Fractional customers are expected values, not people already won. This assumes constant volume and rates, one sale per recovered customer and immediate payment. It excludes taxes, financing, extra acquisition costs and costs you leave out. Do not count the same cost in both the margin and operating costs.

Request an optional scope review

The calculation or observation record will be attached to your request. Send only assumptions and public observations you are comfortable sharing. This request does not order the $300 USD growth audit or authorize paid work.

Questions about this tool

Common questions

How does the missed lead calculator work?

Our calculator multiplies monthly inquiries by the missed share, recovery share, qualification rate and close rate. Revenue and contribution per customer turn that scenario into money. It subtracts your entered monthly costs and compares the remaining contribution with setup costs to estimate break-even, rather than measure actual lost sales.

Do I have to give my email to see the result?

No. We make the full results and downloads available without requiring contact details. You can adjust assumptions and compare scenarios before deciding whether to discuss follow-up work with us. If you choose to send a request, that is separate from using the calculator and does not authorize paid work.

Are the default numbers real results?

No. We use invented example values to demonstrate the arithmetic, not measured results, benchmarks or company prices. Replace them with your own records where possible and label uncertain inputs as assumptions. Comparing several scenarios is more useful than treating the default answer as evidence of what your business has lost.

What can I do about missed calls?

Every client starts with the $300 audit, then receives a written quote for the work. Where the system and contact permissions allow it, an approved reply can reach the caller and route responses to your team. The $300 audit offers a broader review of calls and forms.

How would missed call text back change my numbers?

A permitted text-back process might increase the share of inquiries recovered, but our calculator applies no automatic improvement. Test the actual message and response process, honor opt-outs and use measured recovery and conversion figures. The estimate should change because you have evidence, rather than because you selected a particular technology.

How would an AI receptionist change my numbers?

An AI receptionist might improve coverage or routing, depending on implementation and customer experience. We recommend changing assumptions only with evidence from a controlled pilot. Include setup, usage and supervision in the relevant cost inputs, and assess omitted costs separately without double-counting. An answered call does not prove that an inquiry was recovered.

Questions customers ask about Missed lead calculator

How much money am I losing from missed calls and slow follow-up?

You need inquiry and sales records to estimate actual losses. Our calculator models possible contribution using recovery and sales assumptions, subtracts the operating costs you enter and compares setup costs. It does not verify lost sales or forecast profit; omitted costs and uncertain assumptions still limit what the scenario tells you.

Which assumptions affect the missed lead estimate?

Our model uses inquiry volume, missed and recoverable shares, qualification and close rates, revenue per customer, contribution margin, setup and monthly costs, and the number of months modeled. Each input affects the scenario. Use your records and compare assumptions; the tool does not verify lost sales or predict profit.

Which numbers do I need for the missed lead calculator?

Gather monthly unique inquiries, missed and recoverable percentages, qualification and close rates, average customer revenue and contribution margin, setup costs, monthly operating costs and the number of months to model. We recommend using records where possible and labeling uncertain inputs. Select the main missed channel too; the result remains a scenario, not a measured loss.

How do I find out how many calls my business misses?

We recommend reviewing phone-system logs and separating genuine unique inquiries from spam, repeated attempts and existing-customer calls. Then check whether an unanswered call later received useful follow-up. A missed call is not automatically a permanently lost lead, so your estimate needs to account for what happened afterward.

What close rate should I enter if I don't know mine?

We recommend using a clearly labeled conservative assumption and testing several scenarios until you have measured results. Enter the close rate among qualified recovered inquiries, rather than your overall sales rate. The calculator applies qualification separately, so using a conversion rate for all recovered inquiries could count that qualification effect twice.

Does the calculator count after-hours leads?

Yes, if you include after-hours inquiries in the monthly volume and missed-share inputs. Our calculator does not identify them automatically. Keep after-hours records separate when examining that coverage gap, so you can compare it with staffed hours rather than assume every missed inquiry arrived while the business was closed.

Can the calculator estimate losses from web form leads too?

Yes. Our calculator can use unique form inquiries, calls and chat, and you can select website forms as the main missed channel. Check actual form delivery and follow-up records before estimating the unanswered share. A submitted form may have been received or answered later, so it should not automatically count as lost.

What should I fix first after seeing my missed lead number?

We start by checking where inquiries actually stop: unanswered calls, failed forms, missing ownership or slow follow-up. Verify the largest gap using your records, then test a focused repair. The modeled number helps frame questions; it does not establish that a broad automation package is the first thing your business needs.
