Which requirements change website design cost?
Count unique layouts separately from published pages. Ten service pages can share a layout, yet each still needs accurate copy, images, links and review. A custom booking flow adds a different kind of work. Its price depends on account access, the outside provider, error handling and the agreed tests.
Content responsibility also changes the quote. Supplied approved copy needs a different scope from interviews, research, writing and translation. For a redesign, list existing URLs and identify which pages will stay, merge or redirect. Google publishes specific guidance for URL changes. A new design does not remove that migration work.
Write a user task and acceptance test for each feature. "A Spanish callback request reaches the assigned team with the selected service" is more checkable than "contact form included."
How can you calculate the first-year total?
Consider a fictional scope with a $6,000 build, $150 monthly care and a $240 annual license. Twelve months of care cost $1,800, so the modeled first-year total is $8,040. These amounts illustrate the calculation. They are not AI Growth Systems package inclusions or a current customer quote.
Now add a separately scoped $900 integration. The example total becomes $8,940 if the other assumptions stay the same. Ask whether the integration also creates a subscription charge. Check when each recurring charge begins; a care plan billed after launch has a different cash schedule from one billed immediately.
A first-year total and a full contract total are different when a term extends beyond twelve months. Keep optional work and future payments visible. Record the currency and version of every estimate you retain.
| Item | Assumption | Year-one amount (USD) |
|---|---|---|
| Build | One-time illustrative amount | $6,000 |
| Care | 12 months at $150 | $1,800 |
| License | Annual illustrative amount | $240 |
| Base scenario | Build + care + license | $8,040 |
| Optional integration | One-time additional scope | $900 |
| Scenario with integration | Base + integration | $8,940 |
What should be included, excluded or left open?
Ask for named outputs: layouts, page inventory, copy responsibility, responsive behavior, forms, redirects and handover records. Specify what is tested and where evidence will be kept. A promise to include SEO should explain whether it covers titles, internal links, index controls, migration or ongoing content.
List exclusions beside the price. Photography, premium software, payment processing, accessibility review, translation and maintenance can have different owners. Their inclusion depends on the proposal. An unresolved item needs a decision date or allowance with a clear calculation.
A provisional integration allowance deserves attention. If the outside system has not been inspected, the estimate should state what is known and what could change. Approve the investigation before treating that allowance as a fixed delivery commitment.
How do revisions and delivery affect the budget?
A schedule needs production tasks and decisions from your team. An illustrative sequence might approve the page inventory first, then layouts, content, development and launch checks. Several tasks can overlap, but development cannot reliably use copy or account access that has not been supplied.
Define a revision in the proposal. Correcting an agreed field label differs from adding a second booking provider after approval. A change record should state the request, extra work, price effect, date effect and person who accepts it.
Before launch, review mobile contact tasks, old-to-new URLs, form receipt and account ownership. Keep unresolved blockers visible. A launch date becomes useful when everyone can see the inputs and acceptance records behind it.
What can be phased into a later release?
Start with the pages and contact routes needed to explain and receive the intended work. A later phase can add a research library, another integration or a second language when the business can review and support it. Record what is deferred so the first proposal does not imply it is included.
Reopening a design or migration later may require extra setup and testing. Ask which foundations should be prepared now and which can wait. The smallest useful first release depends on the buying task, not a universal page quota.
If the current site already answers the main questions, a repair project may be enough. Identify the specific failure before assuming every traffic or inquiry problem needs a full redesign.
What should you send with a scope discussion?
Use the website cost calculator with your page inventory, layouts, writing needs, migration and integrations. Treat its rates and contingency as editable assumptions. Keep the result alongside the selected inputs; the number alone does not describe the work.
Share the website address if one exists, the main business decision and the relevant estimate details. Do not send passwords through a general inquiry form. Ask for an agreed access method when implementation begins.
A planning result starts the discussion. The written proposal should explain any difference between the estimate and reviewed scope. Compare its recurring payments, term and acceptance tests using the checklist below.
Open the editable scope example with 8 pages, 2 standard layouts, 1 integration and improvements to existing copy. It starts with an illustrative $100 hourly rate, $35 monthly hosting, 2 monthly care hours and a 15% contingency. All values can be changed or reset. This scope model is a separate exercise from the fixed first-year amounts above.
Who builds the site behind the quote
AI Growth Systems designs and builds service websites from Deerfield Beach, Florida, under founder Javier Socarras. Every website quote we send lists the page templates, the writing we'll do, any migration and the tests on each form and phone link, with hosting and licenses on separate lines. You can compare it with any other proposal item by item, and that's the point.
